GUIDELINES FOR APPROPRIATE CYM COMMUNICATION

Adopted midway through the 2024-2025 program year, CYM Sports representatives took steps to simplify communications and clean up lines of communication between the office and local affiliated programs and their representatives. With over 10,000 registered individuals each year among youth, parents, coaches and administrators, the CYM office and the administrators at the local level face a challenge to communicate mass communications throughout the CYM Sports network effectively and efficiently. It was determined that in order to provide better communications for ministry in athletic activities, some necessary channels required restriction and change.

Local affiliated programs along with participating families are required to follow proper links and chains of communication to facilitate more improved communication, in conjunction with policies outlined herein and through the Catholic Diocese of Wilmington & Safe Environments.

Under the 10.1.9 Universal Rulebook: Communication Guidelines, policies have been put into place to reflect proper levels of communication. They should be followed with the utmost respect to those whom fall in the hierarchy and their position(s).

This communication model and the communications contained throughout the organization are subject to “For The Sake Of God’s Children” guidelines, established by the Catholic Diocese of Wilmington. This includes the Acceptable Use of Technology by Volunteers as directed by compliance programs throughout the diocese by the Safe Environments Office.

These communication terms and conditions are agreed to through the Volunteers Covenant Agreement and the Confidentiality Agreement each year by volunteers. Beginning in 2026-2027, volunteer coaches are required as a prerequisite for their coaching clearances to sign the Acceptable Use of Technology Agreement, required by local parishes to retain on-file.

The Office for Catholic Youth Ministry and CYM Sports representatives reserves the right to escalate any and all inappropriate communication with sanctions, disciplinary actions, or referral to local affiliated leadership; this includes recommendation for dismissal from the program.
